Small Cove Media LLC runs marketing for service businesses. This page explains what information we collect through our websites and ads, what we do with it, and how to get it deleted. It is written to be read, not to be skimmed past.
This policy covers smallcovemedia.com, barbershop.smallcovemedia.com, sites.smallcovemedia.com, and any preview or client site we host on a smallcovemedia.com subdomain.
Information you give us
When you fill out a form, book a call, or email us, we collect what you type. That is usually:
- Your name
- Your email address
- Your phone number
- Your business name and website
- Whatever you tell us about your business in the form fields or in conversation
We ask for this because we cannot run a discovery call or send you anything useful without it. If you would rather not hand it over, do not fill out the form. You can still read every page on the site.
Information collected automatically
Like almost every website, ours collect some technical information when you visit:
- IP address and rough location, usually down to the city
- Browser and device type
- Pages you viewed, how long you stayed, and what you clicked
- The site or ad that sent you to us
Google Analytics
We use Google Analytics 4 to see which pages get read and which buttons get clicked. It sets cookies and reports to Google. We look at this in aggregate. We are not sitting here watching individual sessions.
Meta Pixel
Our pages carry the Meta Pixel. It tells us when someone who clicked one of our Facebook or Instagram ads landed on the page and whether they booked a call, and it lets us show ads to people who visited but did not book. It shares that activity with Meta, who may match it to your Facebook or Instagram account. You can limit this in your Meta account under Settings, Ad Preferences, and you can opt out of interest-based advertising generally at optout.aboutads.info.
Discovery calls are recorded
Read this one. Our discovery and client calls run on Google Meet with an AI notetaker (Fireflies.ai) that joins the call, records it, and produces a transcript and summary. We use those notes so we are not scribbling while you talk, and so we can pick up where we left off next time.
The notetaker announces itself when it joins. If you do not want to be recorded, say so at the top of the call and we will remove it and take notes by hand. No hard feelings, and it will not change anything about the conversation.
What we do with it
We use your information to:
- Reply to you and run the call you booked
- Send confirmations and reminders for calls you scheduled
- Send follow-up about the specific thing you asked about
- Measure which ads and pages actually produce booked calls, so we stop paying for the ones that do not
- Deliver the work, if you become a client
We do not sell your personal information. We do not trade it, rent it, or hand it to a list broker.
Who we share it with
We share information with the vendors that run our business, and only so they can do their job:
- HighLevel (GoHighLevel) for our CRM, forms, scheduling, and email follow-up
- Google for Analytics, Workspace email, Calendar, and Meet
- Meta for ad delivery and measurement
- Netlify for website hosting
- Fireflies.ai for call recording and transcription
We may also disclose information if the law requires it, or to protect our rights or someone's safety. If the business is ever sold, customer records would transfer with it, and we would say so here first.
Text messaging consent is never shared. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories above exclude text messaging originator opt-in data and consent. This information will not be shared with any third parties.
Text messages
If you give us your phone number and check the SMS consent box on one of our forms, we may text you. Here is exactly how that works:
- You have to opt in. We only text people who checked the box themselves. The box is never pre-checked, and you can submit any form without checking it.
- What we send. Appointment reminders and confirmations, replies to something you asked, and occasional marketing about our services.
- How often. Message frequency varies. In practice it is a handful of messages a month at most.
- Cost. Message and data rates may apply. That is between you and your carrier, not us.
- Stopping. Reply STOP to any message and we stop immediately. Reply HELP for help, or just email us.
Your phone number and your consent are used by Small Cove Media LLC to message you and for nothing else. We do not sell phone numbers, we do not rent them, and we do not pass them to anyone else's marketing list. Carriers are not liable for delayed or undelivered messages.
Cookies
Our sites use cookies for analytics and ad measurement, as described above. Every major browser lets you block or delete cookies in its settings. Blocking them will not break the site. It will make our reporting less accurate, which is our problem and not yours.
How long we keep it
We keep contact and CRM records for as long as you are a client and for three years after, so we can answer questions about past work. Call recordings and transcripts are kept for two years. Analytics data follows the retention window set in Google Analytics, currently 14 months. Ask us to delete any of it sooner and we will.
Your choices
Whoever and wherever you are, you can email us and ask us to:
- Tell you what information we hold about you
- Correct anything that is wrong
- Delete it
- Stop emailing you
Every marketing email we send has an unsubscribe link, and it works.
If you are in California
California residents have the right to know what personal information is collected, to have it deleted, to correct it, and to opt out of its sale or sharing. We do not sell personal information. We do share advertising identifiers with Meta for ad measurement, which California law may treat as "sharing" for cross-context behavioral advertising. To opt out, email us and we will exclude you, or use your browser's Global Privacy Control signal, which we honor. We will not treat you differently for exercising any of these rights.
If you are in the EU or UK
You have rights of access, correction, deletion, restriction, portability, and objection under GDPR. We rely on your consent for marketing and on legitimate interest for analytics and security. Email us to exercise any of it.
Children
Our services are for business owners. We do not knowingly collect information from anyone under 18. If we learn we have, we delete it.
Security
Our sites are served over HTTPS and our vendor accounts use two-factor authentication. That said, no method of transmission or storage is perfectly secure, and anyone who tells you otherwise is selling something.
Changes
If we change this policy we will update the date at the top. If the change is significant, we will say so plainly rather than quietly editing a paragraph.
